Keep in mind…
- Access Level: Administrator
- This article is intended for users with Administrator access in Suitable. If you don’t have this role, some of the steps outlined below may not be available in your account.
- Ineligible Roles: Student, Contributor, Advisor, Publisher
- Please note that 'Archived' is different from 'Alumni.' 'Alumni' is a classification title, meaning the user will retain an 'Active' status in the program.
- The 'Archived' status indicates that the user is inactive. While they retain access to their scorecard and data, they are no longer able to participate in the program.
Archiving Users One at a Time
1. From the Dashboard, click on 'View Students' in the bottom right.
2. Locate the user that you'd like to archive, and click on the three dot action menu, then choose 'Archive'.

3. To check if the user was archived, refresh the page and click on the 'View Archived' button. The user should appear in your list of archived users.
Archiving Users in Bulk - User List
1. Under the Search bar in User Management, choose 'Get report from search' to pull your user list. Then choose 'Get user list'. This will email a copy of your User list to you.
2. Locate the user or users that should be archived in Column A, Username.
3. Under Column M, Access update, type in ARCHIVE_USER for those users you'd like to archive.
4. Save the file and return to Suitable.
5. After updating the users that you want to archive, return to Suitable to upload the file. Click on the blue arrow next to '+ Import New User', then '+ Import Users'
6. Select your file, then click 'Import Users'.
7. You will receive a success message, as well as an email confirming this action.
8. To check if the user was archived, refresh the page and click on the 'View Archived' button. The user should appear in your list of archived users.
Archiving Users in Bulk - User Import Template
1. From the Dashboard, click on 'View Students' in the bottom right.
2. Under the User Management tab, you'll want to pull a Roster Import Template. You'll do this by clicking on the blue arrow next to '+ Import New User', then clicking '+ Import Users'.
3. Next, click on 'Download Import Template' to get an empty import template.
4. Type the username for the user you'd like to archive under Column A, Username.
5. Next, under Column M, Access update, type in 'ARCHIVE_USER'.
6. After adding the information, save the file and return to Suitable.
7. Upload the file to Suitable and import the users.
8. You will receive a success message, as well as an email confirming this action.
9. To check if the user was archived, refresh the page and click on the 'View Archived' button. The user should appear in your list of archived users.
