As a Manager of your organization, you are responsible for updating and maintaining accurate membership records. This guide allows you to execute the rostering function in bulk.
Access Level: Leader, Manager, Student, Student Org Admin, and Org Admin
This article is intended for users with Leader, Manager, Student, Student Org Admin, and Org Admin access in Suitable. If you don’t have one of these roles, some of the steps outlined below may not be available in your account.
Ineligible Roles: Member
Downloading the Membership Report
Before making changes, you must retrieve the most current data from the system.
1. From a pathway associated with the organization, choose Organizations in the left-hand sidebar.
2. Choose the student organization profile that you need to remove users from.
3. In the organization, select Manage Student Org.
4. Navigate to the Members section at the top of the page.
5. Click Get Membership Report.
Updating the Membership
Managing your roster is categorized into three main actions: removing members, updating current members, and adding new ones. Please follow the specific instructions for each below.
Removing Members
To un-roster an individual who is no longer part of your organization:
- Locate the “RESERVED” Column
- Add “DELETE_USER” to any users no longer in your organization.
Updating Existing Members
Ensure your leadership and general members have the correct permissions and titles by editing these three fields:

Student Org Access Role
- Ensure all your new leadership has the correct access level

Student Org Member Role
- Ensure all your new leadership has the correct member role

Member Title
- Ensure all your new members and leadership has the title if applicable
Adding New Members
To add a new member to the roster, fill out the following columns completely:
- Username - user email; needs to match the Suitable username.
- Student Org Access Role
- Student Org Member Role
- Member Title
Uploading the Membership
- Save your work: Save the completed document to your computer.
- Upload: Back on the Members page, click Select File to Import Members.
- Process: Once the file is selected, click the blue Import New Members button.
- Confirm: Check your email to ensure the file was imported successfully and to review any potential errors.
